ReclaimRent is operated by O Law Ventures Ltd (Company No. 12857620), registered office 128 City Road, London EC1V 2NX. We are the data controller for the personal information described below.
What information we collect
When you use ReclaimRent's eligibility checker and document pack tool, we collect:
- Your details: name, email, phone number, and correspondence address (needed for the RRO1 Tribunal form)
- Your tenancy details: property address, tenancy start/end dates, rent amount
- Your landlord's details: name, type (individual or company), and address (needed to correctly name the respondent on your Tribunal application)
- Details of the offence you believe your landlord committed, and the date it began
- Evidence you upload: tenancy agreements, proof of rent paid, licensing records, and correspondence — stored as the files you provide
- Your record of consent if you generate a paid document pack: the date, time, your IP address, and browser information, kept as evidence that you knowingly agreed to the cooling-off terms
- If you contact us via WhatsApp: your phone number and the messages you send us, to hold your place in the conversation
We do not use cookies, analytics, or any tracking technology on this website. We only collect what you actively provide through the form.
Why we collect it
- To calculate your eligibility and estimated award
- To generate your Tribunal document pack
- To pass your case to O Law Ventures for representation, if you choose that option
- To keep a compliant record of consent for the paid document pack service
- To respond to you if you contact us
Our lawful basis for this is your consent (by using the tool and providing your details) and, where you choose O Law Ventures representation, to take steps towards a contract with you.
Who we share it with
- O Law Ventures Ltd — if you choose representation, your details and evidence are shared internally for your case
- Our hosting and infrastructure providers — Render (application hosting), Supabase (database), and GoDaddy (email) process data on our behalf as part of running this service. None of them use your data for their own purposes.
We do not sell your data, and we do not share it with your landlord or any third party for marketing purposes.
How long we keep it
We keep your claim record for as long as reasonably necessary to provide the service and meet our legal obligations — typically for the duration of any RRO claim and a reasonable period afterwards in case of dispute. If you'd like your data deleted sooner, contact us and we'll action this unless we're legally required to retain it.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Have inaccurate data corrected
- Ask us to delete your data
- Restrict or object to how we use it
- Receive your data in a portable format
- Complain to the Information Commissioner's Office (ico.org.uk) if you're unhappy with how we've handled your data
